Guide North Wales Booking Terms and Conditions 2015
The reservation made by you constitutes a binding confirmed agreement between you, ‘The Customer’ and Guide North Wales ‘The Supplier’.
THE BOOKING CONDITIONS below set out as clearly as possible the responsibilities when you make and we accept a booking. By confirming a booking and returning the Booking Reservation Confirmation Form you are entering into a binding contract and agreeing, that you have the authority to accept and do so on behalf of your party these Terms and Conditions
Reservations and Confirming Booking no booking will be deemed confirmed until The Booking Reservation Confirmation Form has been returned and agreed. Deposit and full payment requirement is based on each individual tour and stated on The Booking Reservation Form.

Quotations and itineraries
For general inquiry, an approximate from- rate for a day tour will only be advised until all details and information rendered for full quote have been advised by the customer.
All itinerary quotes are individual, advised and tailored to personal requirement based on information provided by ‘The Customer’.
All tour arrangements and activities are subject to availability at the time of booking. For bookings of three days or more a deposit is required and amount will be stated on booking form issued.
Quotations are given on the basis of information provided by ‘The Customer’. The route used is at the directions of ‘The Supplier’, unless particularly specified by ‘The Customer’, in which case it will be clearly shown on the confirmation
However, any changes requested by ‘The Customer’ to itinerary on the day of tour resulting in extended time or mileage may incur extra charge.
Rate quotes includes Tailored Tour, Itinerary suggestions. Pick up and return to pre arranged place, Wales Blue Badge Qualified Guide services for the day, with commentary, town and castle guided tours as relevant to tour itinerary.
Not included are entrance fees to attractions, all client personal expenses and personal or travel insurances. Guide overnight expenses if travelling away from home. City congestion charges.
Medical Information
It is very important that ‘The Supplier’ is made aware of any medical conditions, physical or mental disabilities of ‘The Customer’ or their group prior to accepting the booking. Certain activities will provide a greater physical challenge and you must ensure that any activity selected by you or any member of your party is suitable for those taking part.
Booking and Payments
All transaction payment required in ENGLISH POUNDS
A non-refundable deposit for bookings by electronic bank transfer required on acceptance of a booking date between ‘The Customer’ and ‘The Supplier’.
The outstanding balance of the account is required 28 days prior to the commencement of the tour.
Payments are by electronic bank transfer in English Pounds Cash as stipulated in your booking confirmation.
Cancellation by ‘The Supplier’
In the event of circumstances beyond ‘The Suppliers’ control e.g. civil unrest, strikes, road closures, terrorist attacks ( including adverse weather conditions and adverse road conditions, or where the supplier feels the safety of the ‘The Customer’ may be compromised). ‘The Supplier’ reserves the right to cancel any tour at its own discretion. In such cases, ‘The Supplier’ will refund any monies paid and, without further liability, cancel the contract.

Cancellation by ‘The Customer’
Where ‘The Customer’ cancels the tour reservation, the effective date of cancellation will be the date that ‘The Supplier’ receives written notification. If ‘The Customer’ cancels less than 14 days prior to the commencement of the tour then 100% of the final payment (outstanding balance) will be charged. Unless prior special individual payment arrangement have been negotiated and agreed.
Tours and Amendments
All tours are tailored to personal requirement and negotiation. Whilst ‘The Supplier’ shall do everything reasonably possible to provide a planned tour itinerary, ‘The Supplier’ reserves the right to alter itineraries or transport for whatever reason.
Breakdowns and Delays
‘The Supplier’ gives advice on journey time in good faith. However, as a result of breakdown, traffic congestion or other events beyond the reasonable control of ’The Supplier’, journeys may take longer than expected and in those circumstances ‘The Supplier’ will not be liable for loss or inconvenience caused to ‘The Customer’.
Other Operators / Carriers
‘The Supplier’ will not accept or have any liability for any acts or omissions whether negligent or otherwise of any attraction or person providing services in connection with any tour, unless such a person is employed by or under the direct control of ‘The Supplier’.
Conduct of Passengers
The driver is responsible for the safety of the vehicle at all times, and as such may remove any passengers from the vehicle whose behaviour prejudices safety. ‘The Customer’ is responsible for any damage caused to the vehicle by any passengers for the duration of the tour/hire.
Passengers Property
Although every care will be taken to ensure the safe keeping of personal property, ‘The Supplier’ cannot accept liability for any losses.
Vehicles are subject to restrictions on carrying luggage for safety reasons. ‘The Customer’ accepts that ‘The Supplier’ shall be the sole judge as to whether or to what extent, passengers’ property is carried. Large items may not be able to be carried and ‘The Customer’ should notify ‘The Supplier’ in advance of any requirements. ‘The Supplier’ accepts personal property of ‘The Customer’ and their passengers on the understanding that that they will take all responsible steps to avoid loss or damage. ‘The Customer’ should notify ‘The Supplier’ if items of exceptional value are to be carried. It is ‘The Customer’s’ responsibility to minimize risk of loss when property is left unattended.
Travel Insurance
It is the ‘The Customer’ responsibility to ensure and arrange before start of holiday that all suitable travel insurance is in place, for personal medical and emergency, repatriation and cancellation, theft and loss protection of personal luggage etc.
Guide North Wales the supplier accepts ‘no liability or obligation for any death, illness or injury or loss of or damage to baggage or personal property caused to or suffered by you in relation to your vacation. You are strongly advised to obtain adequate insurance cover for all eventualities connected with your holiday. For your own protection your insurance should be valid from the time that you book.
It is also advisable to carry address, policy number and details of the emergency medical/repatriation telephone number with you at all times when you travel.
Smoking
Smoking is not permitted in ‘The Supplier’ vehicle or any vehicle supplied for carrying of passengers. However stops are programmed so that those who wish to smoke may do so.
Refreshments and Alcoholic Drinks
Food and drink (including alcohol beverages) may not be consumed in the vehicle without prior consent.
Conveyance of Animals
No animals, other than guide assistance dogs notified to ‘The Supplier’ in advance, may be carried in a vehicle without prior written agreement from ‘The Supplier’.
Complaints
‘The Supplier’ will endeavour to enhance a tour. However in the event the day tour is not meeting expectation ‘The Customer’ should speak to ‘The Supplier’ and seek a solution at the time. If a remedy has not been provided, complaints should be submitted in writing to the ‘The Supplier within 14 days of termination time of hire.
The ‘Supplier’ (Guide North Wales) operates under the law of the UK and any problems will be resolved in the courts of the UK.
Data protection: Under the provisions of the Data Protection Act 1998 we undertake to use the information provided by you only in connection with the arrangements for your tour. We will only pass your information to others parties who have direct involvement with your tour.
